Administrative Coordinator/Outreach Specialist

Hours: Full-time, occasional evening and weekend work required

Job Summary:

The Administrative Coordinator/Outreach Specialist is responsible for day-to-day oversight data management, entry, collation, distribution, and organization, for the Relative Support Services (RSS) program. The Administrative Coordinator/ Outreach Specialist is responsible for assisting in compliance monitoring of programmatic reporting and implementing policies and procedures in accordance with the protocols and procedures set by Los Angeles County Dept. of Children and Family Services. Additionally, the Administrative Coordinator/Outreach Specialist will conduct community outreach at health centers, provider offices, social service sites, local businesses and community events aimed at recruiting Kindship families and effectively linking them to resources and RSS services.

The Administrative Coordinator/Outreach Specialist will also be responsible for developing relationships with key community contacts and maintaining outreach logs. The Administrative Coordinator/Outreach Specialist will collaborate with the Supervisor to address any changes and interventions that may be necessary to ensure program objectives are achieved. The Administrative Coordinator/ Outreach Specialist will be expected to participate in ongoing, intensive, professional reflective supervision bi-weekly with the supervisor.


Responsibilities and Duties:

The ideal candidate for this position will possess a combination of skills, experience, and passion in the following areas:

• Develop relationships with providers and community organizations

• Develop and implement outreach strategies to reach Kinship Families

• Interpersonal skills to establish and maintain cooperative working relationships with diverse individuals and at various organizational levels.

• Participate in appropriate community meetings and events

• Drives to and conducts outreach at provider sites, community events, and community-based organizations to recruit potential clients on a weekly basis.

• Oversee and conduct appropriate quality checks to ensure accuracy and quality of data

• Develops and implements reporting mechanisms to provide timely and accurate feedback to provider teams on improvement cycles

• Provides technical assistance to the provider teams for data management, collection, and interpretation of improvement data.

• Utilize cultural competencies to establish trusting relationships

• Knowledge of departmental policies, procedures, and organizational relationships.

• Knowledge of office practices, processes, and computer software programs

• Knowledge of scheduling and coordinating

• Ability to prioritize and organize work.

• Ability to meet schedules and deadlines of the work area.

• Ability to compose routine correspondence and reports.

• Maintain daily work schedule: Keep Outlook calendar showing appointments as set the last day of the workweek for the following week. Update as changes occur.

• Attend and participate in meetings and training courses as required and as authorized.

• Comprehensively & accurately gather data and documentation needed per grant requirements.

• Perform other duties as assigned by supervisor, program manager and/or director.



Experience and Requirements:

• Bachelor’s Degree preferred or at least 1 years’ experience working with an understanding of the data management and/or secretarial field

• Experience with DCFS preferred

• Experience in outreach

• Bilingual preferred (Spanish)

• Experience working with culturally diverse communities and families with the ability to be culturally sensitive and appropriate.

• Ability to work collaboratively as a member of a multi-disciplinary team.

• Excellent written/oral communication skills

• Demonstrated track record with respect to detail orientation and accuracy.

• Must demonstrate excellent skills in Microsoft excel, word, outlook and the ability to learn new data programs.

• Attention to detail and accuracy, with the ability to problem solve.

• Current and maintained CA driver’s license, auto insurance and own transportation for work-related purposes

• Current and maintained infant and adult CPR.

• Meet basic health requirements, background check, and physical job standards.

• Must have TB clearance (or perform upon hire)

• COVID-19 vaccination highly encouraged.



Physical Requirements and Working Conditions:

• Primarily in an office setting and/or via a virtual platform. Will work in the community providing outreach.

• Working with overburdened, often high-risk clients of low economic and varied cultural backgrounds, living in high-risk areas.

• Work is often performed under stressful and emotional conditions.

• Or This position requires lifting/carrying up to 25 lbs., stooping, bending, squatting, sitting on the floor, walking, running (may be needed).
